JOB SUMMARY
The position provides support for District-wide curriculum and instruction including attending meetings, keeping required minutes, completing special projects, and providing set-up and support for all online curriculum vendors, including liaising with publisher technical support and district staff.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties of this position include the following tasks. Employees in this position perform some or all of the following tasks. Other duties may be assigned at any time.
Performs general office duties including answering multi-line phones, greeting the public, typing, proofreading, filing, sorting and handling incoming and outgoing mail.
Prepares a variety of reports for authorized district personnel and the Oregon Department of Education.
Maintains filing, temporary storage and permanent retention of records pursuant to federal and state laws and requirements and district policies and procedures.
Maintains and secures confidential records and inquiries pursuant to federal and state laws and requirements and district policies and procedures.
Independently answers routine questions and correspondence not requiring the supervisor’s attention.
Manages special projects as assigned.
Provides administrative support to Executive Director including recording meeting minutes, preparing reports, presentations and budgets; managing calendars; arranging travel and hotel overnight stays; and corresponding with staff, parents, students and community members.
With guidance, provides interpretations of district policy and/or laws to Executive Directors and other staff.
Assists with payroll and budget functions.
Prepares and monitors state grants, including preparing budgets, applications, and reporting. Maintains files for all federal and state ESEA grants. Assists with audit preparation as needed.
Collects private school enrollment information and submits state reporting related to state grants.
Coordinates student transfers, including inter-district transfers, in-district transfers, and tuition applications. Follows district guidelines as to the granting of releases and approvals of transfer requests and is the district contact (interpreting policies, procedures and guidelines) for all transfer questions from parents, potential district families and school staff.
Manages and oversees automated rostering setup projects for all online curriculum vendors, including liaising with publisher technical support, CNS, and Director of Data. Includes ongoing monitoring of file uploads, troubleshooting errors and issues.
Serves as district contact and point person for online curriculum access setup as well as logon troubleshooting for all online curriculum for all K-12 students and teachers.
Assists in the management, adoption and implementation of K-12 curriculum and resources/materials, facilitates large volume purchases for all district textbook and curriculum adoptions.
Establishes and maintains departmental files, budgets, records, databases, and communications, maintaining confidentiality where needed.
Demonstrates knowledge and understanding of all district policies and procedures.
Consistent, daily and punctual attendance.
NON-ESSENTIAL DUTIES AND RESPONSIBILITIES
Non-essential duties of this position include the following tasks. Employees in this position perform some or all of these tasks. Other duties may be assigned at any time.
Operates and troubleshoots various office equipment including telephones and photocopy machines.
Attends in-service trainings, staff meetings and other meetings as assigned.
Communicates information about district, school and/or departmental policies and procedures to students, staff, parents and patrons.
Reports issues to the principal and the appropriate authorities including safety, sanitary and fire hazards, vandalism, thefts and errant wildlife.
Organizes special events.
OTHER REQUIREMENTS
Consistently follows all applicable federal and state laws and all district policies, rules and supervisor directions.
Observes ergonomics of sedentary office work including placement of computers and monitors, and sitting alignment.
Observes proper lifting techniques and other strategies to avoid accidents and personal injury while performing job duties.
Performs other duties as assigned.
SUPERVISORY RESPONSIBILITIES
Supervises students in the main office area. Refers students to the principal and contacts parents as necessary. All school employees have some responsibility for supervising students and assisting in maintaining a safe environment.
QUALIFICATIONS

A high school diploma or GED is required. An Associate Degree or two years of college/university course work is preferred. Three years of directly-related experience is required and experience in public education is preferred.

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to calculate rates, ratios, percentages and proportions. Ability to read and interpret various charts, bar graphs and similar visual data depictions.
Ability to apply common sense understanding to carry out instructions furnished in oral, schedule or diagram form. Ability to deal with problems involving more than one variable.
Ability to effectively use office computers and internet access for email, research, word processing, database manipulation, visual presentations and general web-based applications. Ability to type quickly and accurately.
Ability to exercise good judgment and work effectively in a dynamic environment.
Ability to prepare routine reports and correspondence with high degrees of accuracy and professionalism.
Must have or able to obtain various certificates, licenses and/or registrations as required by federal, state or local law(s) and/or determined by the district.

Special Requirements:
The person selected for this position must be able to provide: proof of educational requirements, verify identity and employment authorization, complete a pre-employment record check and be approved by the State Department of Education after having a Fingerprint-Based Criminal History Verification completed. The selected candidate will pay $10-$20 for a set of fingerprints and $66.00 for the verification check.
