This position is at Carus Elementary School.
With minimal direction, provides overall office management of a school, or a major school activity, either individually or through coordination of additional clerical staff. Responsibilities include secretarial support, front office management, school budget, associate student body (ASB) funds, purchasing, human resources and payroll duties, and school-to-department communication liaison. Ensure the school office has a welcoming, safe and respectful climate for students, parents, staff and community.
This position is 8 hours per day for 225 work days with a start date of 2/28/22. In addition to salary and benefits, the district pays the employee's 6% PERS contribution.

All district employees will be required to provide proof of vaccination, or documentation of a medical or non-medical exception using the Oregon Health Authorities form.
ESSENTIAL FUNCTIONS:
1. Provides secretarial support to the principal and other administrative staff.
2. Oversee school office functions and daily activities of one or more assistants. Delegate office tasks in accordance with direction of the principal and maintain overall awareness of building schedules, staffing, programs, etc.
3. Prepare and maintain various clerical and financial records, reports, schedules, and information essential to the smooth operation of the school office with a high level of accuracy and organization.
4. Perform various financial and payroll tasks using the district’s financial systems.
5. Responsible for all associate student body (ASB) bookkeeping records and duties.
6. Work cooperatively with the administrative office staff to maintain and report payroll, substitute, policy, and other essential building level and district information.
7. Perform clerical work and typing with speed and accuracy. Work independently on difficult clerical tasks.
8. Understand and maintain confidentiality of information. Handle all situations in accordance with district policy and procedures.
9. Interact with students, parents, staff, and community members, personally and through electronic communications, in a warm and confident manner; exercising good judgment and discretion in all contacts.
10. Inventory, order, receive, and distribute school supplies, either personally or by delegation, in accordance with workload.
11. Prepare requisitions and assist in preparation of budget requests.
12. Distribute or oversee distribution of daily incoming mail and coordinate outgoing mail processes. Foster communication within the building, to and from parents, and within the district, as appropriate.
13. Perform other duties as assigned.
MINIMUM REQUIREMENTS:
1. High school diploma or equivalent.
2. Training and/or experience in secretarial, office management and bookkeeping skills.
3. Proficiency with various software programs; e.g., MS Office applications, accounting systems, e.g., iVisions and advanced keyboarding skills.
4. Have or obtain valid first aid/CPR card.
PREFERRED: Bilingual in Spanish
KNOWLEDGE AND ABILITIES:
Advanced knowledge of modern office methods, practices and procedures.
Ability to establish and maintain effective, professional relationships and work in partnership with supervisors, other staff, students, and the general public.
Ability to make some independent judgments with prescribed policies and procedures and perform essential functions with a minimum amount of supervision.
Ability to perform using excellent organizational, communication, and problem-solving skills; good judgment; and the ability to foresee and prevent problem situations.
Ability to maintain confidentiality of all school and personnel matters.
